The barcodes are considered as a confirmation, notification from the customs that an order has been cleared. The barcodes have many different roles such as: Supplementing banks, enterprises keeping records, supplementing for other parties if necessary.

There are many ways to print the barcodes for customs declarations. In this article, TGI TRANS will introduce some ways to get the barcodes as follows:

  • Print the declaration barcode online through the system of General Department of Vietnam Customs.
  • Print the declaration barcode through ecus software.
  • Print the declaration barcode directly at the customs sub-department.

There are many different ways to get the barcodes, all of which give the same results. However, each way will have different methods of expression and display, conveying the different messages to users.

GET AND PRINT THE BARCODES ONLINE THROUGH SYSTEM OF GENERAL DEPARTMENT OF VIETNAM CUSTOMS

The system of General Department of Vietnam Customs has many different functions such as: Looking up tax debt on declarations, looking up tax payment treasury information, checking declaration status… And most importantly, printing the barcodes on customs declarations. 

Printing customs declaration barcodes through the system of the General Department of Vietnam Customs is very simple. If you want to print the barcodes online, just follow these steps:

STEP 1: ACCESS THE SYSTEM OF THE GENERAL DEPARTMENT OF VIETNAM CUSTOMS

To access the system of the General Department of Vietnam Customs, you can access the link:  https://pus.customs.gov.vn/faces/ContainerBarcode

STEP 2: ENTER NECESSARY INFORMATION AS REQUIRED

NECESSARY INFORMATION TO BE ENTERED INCLUDING:

  • Enterprise code: Tax code of the entrprise
  • Declaration number: Declaration number includes 12 numbers. One note about the declaration number is that the extension number will jump from 0 -> 9. When the declaration is edited, it will jump up one number and the barcode system will jump up each number. If you do not make changes, the customs declaration barcode will not be downloaded. The extension number may change when the enterprise changes the declaration or it may change when the customs office changes the declaration.
  • Customs code: This is the customs sub-department code where the customs declaration is opened. You can check the customs declaration in the section “Tên cơ quan Hải quan tiếp nhận tờ khai“. Each customs sub-department has its own code. You can look up at: …..

You can check the customs sub-department code on the customs declaration. On the customs declaration, it will be shown in the section “Tên cơ quan Hải quan tiếp nhận tờ khai“.

  • Declaration date: Declaration date is the holy day shown on the declaration, declaration date is the date taken from the date the declaration is transmitted to the system of General Department of Vietnam Customs. The declaration date is shown in section “Ngày đăng ký” of the customs declaration.

STEP 3: SELECT AND PRINT THE DECLARATION BARCODE

After entering complete information in step 2, select the “Lấy thông tin” button. At this time, the system will return declaration information. There are 4 cases of returning declaration information as follows:

  • Case 1: The declaration has not been cleared yet.

This is the case where after transmitting the declaration, you look up the barcode online at that time. The returned result will be that the declaration has not been cleared. There are some cases where the declaration has been cleared but the returned result will still specify as not yet cleared. This is when taxes have not been paid or the declaration has had its extension number skipped.

  • Case 2: The declaration is accepted for release of goods

Release of goods is a case where the goods have been brought back to the warehouse for preservation by the customs office. However, there are some documents that need to be supplemented or specialized inspection steps that have not been completed. The declaration will be in the form of bringing the goods to the warehouse for preservation.

  • Case 3: The customs declaration has been cleared and the goods have not yet been removed from the port

This is the most perfect declaration barcode, the one the enterprise need to save. This is also an additional copy for the bank and records. For green channel declarations that only need to complete tax obligations, the declaration will be cleared by default.

  • Case 4: The customs declaration has been cleared and the goods have been taken out of the port

After the goods are removed from the customs supervision area. At this time, the barcode will not be under customs management. And the returned barcode will have the content as below.

In this case, if the importer wants to get a barcode like case 3, it must change the method of getting the declaration barcode to method 2 and 3 as below.

OBTAIN AND PRINT THE CUSTOMS DECLARATION BARCODE THROUGH ECUS SOFTWARE

This is the method most often used by the customs clearance agents. How to get the customs declaration barcode using ecus software or similar customs declaration software is quite simple and the information as returned is accurate and without network errors.

Next, TGI TRANS will introduce how to get the barcodes through ecus customs clearance software. To get barcodes via Ecus, you need to follow these steps:

STEP 1: OPEN THE SOFTWARE AND ACCESS AND DECLARATION WHOSE BARCODE IS TO BE PRINTED

Open the software => select the export or import declaration section select the customs declaration whose barcode is to be printed.

STEP 2: DRAG BARCODE INFORMATION

In the customs declaration section, select declaration processing results => Get list of vehicle barcodes => declare => Get feedback.

Get feedback if there is no feedback in the returned results, then the goods have not been cleared. If a barcode is returned, you can select the item “print declaration” to print the barcode.

Above is the entire way to get the customs declaration barcode through the ecus customs declaration software system. This method can be used at any time after the customs declaration is cleared. For shipments that have been taken out of the port, customs clearance barcodes can also be obtained. This method can overcome the disadvantage of obtaining barcodes online. However, the time to process the software is limited, within 3-5 days, you can still get the barcode. After this time limit, the barcode declaration cannot be printed on the software.

GET AND PRINT THE BARCODE DECLARATION DIRECTLY AT THE CUSTOMS SUB-DEPARTMENT

Getting the customs department barcode at the Customs Sub-Department seems to be the last way. When the above methods cannot be done. There are some cases where the declaration barcode must be obtained directly at the Customs Sub-Department, including:

  • The declaration is long gone, the online information or software is no longer available.
  • The declaration information is incomplete
  • Don’t know how to do the above methods.

Obtaining the declaration barcodes at the Customs Sub-Department is not recommended. Because customs officers have a lot of work, manually searching and retrieving declarations takes a lot of time. Even, the decentralization from superiors is required.

DISTINGUISH BETWEEN CONTAINER AND RETAIL BARCODES

The barcodes of container and retail cargo declarations have certain differences. We raise this issue to emphasize the need to declare container numbers for full container declarations.

If the customs declarant forgets to declare the container number, he/she will not be able to liquidate the import declaration. And it is impossible to take the goods out of the port. If the declaration does not declare the container, the default barcode is that of retail goods.

The difference between container barcodes and retail barcodes is:

  • The container barcode will have the words “Danh sách container … qua khu vực giám sát“.
  • The retail barcode has the words “Danh sách hàng hóa … qua khu vực giám“.
  • Container barcodes will have QR codes and container numbers

Early detection of declarations that have not included container numbers. Then the declarant can add the container number before customs clearance. Many different costs as incurred can be avoided.
